Secure Email Program Frequently Asked Questions Michigan Farm Bureau Family of Companies Michigan Farm Bureau Family of Companies (MFBFOC) is concerned about the security of your personal information. For that reason we are now using an email security program that encrypts the data contained in emails and attachments, protecting your personal information while being transmitted, and allowing viewing access only to you. For more information on this program, please read the questions and answers below. How do I retrieve a secure email from the Michigan Farm Bureau Family of Companies? Click here for complete instructions on retrieving your secure email. Why does the email have to be secured? The protection of your personal information and identity (i.e. date of birth, social security number, drivers' license number, policy number, financial information, etc.) is very important to us. Because regular email is not a secure method of transmitting data, we have implemented an email encryption program to ensure the safe transmittal of your personal information. When I enter the life questions, do I need to remember if I abbreviated the city name? Yes. You will need to remember exactly how you entered the answers to your life questions. If you need to reset your password, you must enter the answers in the same case, lower or upper, that they were originally entered. For that reason it may be easiest to answer all the life questions in lower case. Who do I contact if I have a problem with my password or have a question regarding using Secure Email? First you should click on the Forgot Password link in the original Secure Email Notification email, which will take you to the prompts for your life questions. If you correctly enter the answers to your life questions, you will be able to reset (change) your password. If the password reset fails or you have other questions regarding Secure Email use, you should reply to the original sender of the email. Request assistance in this manner from the Farm Bureau employee that sent the email. If the Farm Bureau employee cannot solve the problem, an Altiris ticket will be opened for you by that person. The Response Center will assign the incident to the Security & Compliance team if they are unable to assist the Farm Bureau employee with the problem. In these cases, the Security & Compliance team will work directly with the customer or business partner contact. After I view the secure email, a screen appears that lists the messages that are candidates for deletion. What should I do? Click the Delete box to the right of any messages you want deleted and then click on the Delete option at the bottom of the screen. If you make a mistake, click on the Reset option at the bottom of the screen and you'll be able to make your selections again. How long do messages remain on the system for viewing? Do you ever send reminder messages to either the sender or recipient? Any messages that are read by the recipient, and not marked for deletion, are deleted thirty days after they are sent. If a recipient does not read their Secure Email message within four days after it is sent, they are sent a reminder message that they have a Secure Email message from the Farm Bureau Family of Companies. The MFBFOC sender gets a notification when a Secure Email message they sent has not been read five days after it was originally sent. After thirty days, any emails that have not been read will be deleted. Can an encrypted email sent from MFBFOC be forwarded to another person? No, when you receive an encrypted email from MFBFOC you may only use the Reply option, which will return to the sender of the original email. It is possible, however, to include attachments with the reply. Is there a limit to the size of attachment that can be sent with secure emails? Attachment sizes are limited to a maximum of 10 MB at this time. If you are consistently having issues with this size restriction, please contact the original sender of the email to request assistance. How can I print a secure email?
